Interact with your Data

The dashboard page is the primary interface within the app where you can manage and interact with your data.

Upload Documents & Audio

You can “Add Files” to upload various document formats such as Word (.docx), PDF, and Excel (.xlsx). You can also upload audio files in mp3 or M4A format, which are then automatically transcribed. 

Uploading your research files into InsightLab is fast and straightforward. Here’s how:

Step 1 – Click “Add Files”
From your dashboard, click on the Add Files button.

Step 2 – Choose Your Documents
A file selector window will appear. Pick the files you want to analyze.
Supported formats include:

  • Interview transcripts (Word, PDF, TXT)

  • Survey results (Excel, CSV)

  • Reports and presentations (DOCX, PPTX, PDF)

Step 3 – Upload
Once selected, your files will automatically upload into InsightLab.

Step 4 – Start analyzing instantly
As soon as the upload is complete, InsightLab’s AI processes your data.
You can then:

  • Ask specific questions

  • Explore themes and topics

  • Compare multiple files in one view

💡 Pro tip: Upload several files together to cross-analyze and find deeper patterns.

For optimal input quality, it is recommended that transcripts are well-structured, ideally in Word format, with a uniform title for each interview and clear indications for interviewer and respondent statements (e.g., “Interviewer:”, “Respondent:”).

The app offers an option to automatically anonymize uploaded files, removing critical personal information such as names and locations. Anonymized documents are marked with an “@” symbol.

Upon successful upload, a confirmation message appears, and the documents are listed in a menu on the left side of the interface, where they can also be removed if needed.

Automatic Transcription Capabilities

Insight-lab.ai significantly leverages automatic transcription as a core component of its “Upload Documents & Audio” functionality, streamlining the initial phase of qualitative research. This feature is designed to simplify and accelerate the process of preparing raw consumer data for subsequent analysis by generative AI.

Once uploaded, the audio files are automatically transcribed by the tool. This means that the spoken content within interviews, focus groups, or other consumer conversations is converted into text.

The ability to automatically transcribe audio is highlighted as a “big step forward” in increasing the overall efficiency of the qualitative research process. Traditionally, reviewing “heaps of transcripts” from focus groups and in-depth interviews is “really time consuming” and a “significant cost factor,” slowing down the delivery of insights. Automatic transcription directly addresses this challenge.

By automating transcription, the tool helps save considerable time and resources that would otherwise be invested in manual transcription. This allows researchers to allocate their efforts to “preparing a better recommendation” and “better insights”.

Quality and Prerequisites for Optimal Transcripts

While the tool offers automatic transcription, the sources emphasize the importance of high-quality input for optimal analytical results:

For the “best quality of analysis, summaries, and insights,” it is crucial to use carefully original consumer voices that are unbiased and unfiltered.

Even after automatic transcription you can verify the transcription and edit the text to ensure the quality of the input.  While automation speeds up the process, a review step can enhance the quality of the data feeding into the analysis.

Data Capacity

Insight-lab.ai is designed to handle a significant volume of data when you upload documents and audio, with the capacity to process up to 2 million words, which could represent six focus group discussions, each two and a half hours long. While processing more data may take longer, the tool has not shown limitations regarding the maximum amount of text it can handle. Users can also upload parts of the data, for example, separating users from non-users, to obtain specific summaries.

Typically, the app takes 10 to 30 seconds to analyze documents, but this can extend to even a minute depending on the number and length of the documents.

For very large or segmented projects, the tool offers flexibility. You can upload parts of your data separately. For instance, if you have user and non-user groups in different focus groups, you can upload the user groups first and then the non-user groups to obtain separated summaries if desired.

Regarding language processing, Insight-lab.ai can digest various languages, including Dutch and German. However, large language models generally perform better with English text and output. It is recommended to prompt in English and obtain summaries in English, then use specialized translation tools like DeepL if needed. The platform plans to integrate an API for DeepL to improve translation quality for languages where LLMs are less well-trained.

Prompt with your Data

Similar to ChatGPT, the app allows for a freestyle prompting approach, giving you flexibility to fine-tune the desired analysis. Tell the app the type of summary or analysis you want it to perform. Ensure your instructions are specific and precise. It is recommended to specify the desired length of the output document (e.g., “a summary with 400 words”) and clearly indicate the topic and/or context of the summary you want the app to write.

View transcripts

The “View transcripts” feature allows users to review the quality of the transcripts of uploaded audio files.

Users can click “view” next to the name of an audio file to inspect its transcribed content.

This is crucial for ensuring high-quality input, as carefully transcribed interviews lead to better analysis, summaries, and insights.

Scrape URLs

You can easily add more context to your research by adding some external content to your project, such as internet content. Learn how you can create a summary, a report or a document by generating content from one or multiple scraped web links.

Projects

Projects are designed to help you stay organized, collaborate effortlessly, and get deeper insights from your research data.

Think of a Project as a dedicated workspace.
Instead of having scattered files, endless folders, or separate analysis sessions, a Project brings everything together in one place.
Each Project can hold multiple sources: interview transcripts, focus group notes, survey data, or any other qualitative material you’re working with.

In market research, you rarely work with just one document.
A study might involve 20 interviews, several focus groups, and a survey.
Without a structure, it’s easy to lose track of insights.
Projects solve this problem by centralizing all your materials – so you can easily compare findings, track themes across sources, and revisit your work anytime.

How it works

  • Create a new Project
    Click on ‘New Project’ and give it a clear name – for example, Customer Journey Study Q1.

  • Upload your materials
    Add your interview transcripts, survey spreadsheets, or focus group notes. InsightLab accepts multiple formats so you can work with the data you already have.

  • AI-powered analysis
    Once your materials are in, InsightLab’s AI will start analyzing.
    It extracts recurring themes, identifies emotions, and highlights key quotes – saving you hours of manual coding.

  • Organize and compare
    You can view insights per source or across all sources combined.
    For example, you might compare how customers talk about pricing in interviews versus focus groups.

  • Collaborate with your team
    Invite colleagues into the Project. They can add comments, tag insights, and contribute to the analysis – all in one shared workspace
